Accounts & Office Assistant – Newcastle

Due to continued business growth and increased workload, DVC Commercial Roofing Contractors are looking to recruit an experienced Accounts & Office Assistant to join our team at our Newcastle office.

The successful candidate will work closely with the Finance & Purchasing Manager, assisting with the day-to-day running of the finance and office functions.

Key Responsibilities

Accounts & Finance Duties:

  • Credit control, including contacting customers regarding outstanding payments and issuing statements
  • Processing purchase invoices and subcontractor invoices against purchase orders using Eque2
  • Managing overhead invoices on Sage
  • Checking supplier statements and resolving invoice queries
  • Preparing monthly payment runs for management approval
  • Maintaining sales and purchase ledgers
  • Weekly subcontractor payment runs
  • Processing staff timesheets on Eque2 prior to payroll
  • Managing CIS/PAYE and Nest pensions
  • Processing staff expenses and credit card statements
  • Bank reconciliations and monthly journals
  • Accruals and prepayments
  • Preparing VAT returns
  • Assisting with month-end reporting and management reports

Office Administration Duties

  • Answering incoming telephone calls professionally and efficiently
  • Managing and distributing incoming business emails
  • Handling incoming post and distributing accordingly
  • General office administration, filing, and organisation
  • Maintaining confidentiality and keeping SharePoint records up to date

Requirements

  • Minimum 2 years’ experience using Sage (essential)
  • Minimum 2 years’ experience in accounts or finance administration
  • Strong organisational and communication skills
  • Ability to work accurately and efficiently in a busy office environment
  • Professional telephone and email manner
  • Experience with Eque2 is desirable

Please note that an enhanced DBS check will be required if successful.

Working Hours

  • Full-time position
  • 8-hour shift
