Accounts/Office Assistant

Due to a high demand in workload, DVC Commercial Roofing Contractors are looking to recruit an Accounts & Office Assistant at our Newcastle office.

The role will require the candidate to work closely with the Operations Manager assisting with the day-to-day running of the finance/office function. Previous experience of working on Sage is essential.

An ability to effectively communicate via phone and email is essential to ensure that all administrative and accounts duties are completed accurately and delivered with high quality and in a timely manner.

If successful, an enhanced DBS check is mandatory.

Duties will include.

· To report to Operations Manager

  • Credit control – Contacting customers for payments due/sending statements
  • Purchase Ledger – Inputting purchase invoices and subcontractor weekly invoices against purchase orders on (Eque2)
  • Overhead invoices (Sage), checking supplier statements, producing monthly payment runs for Operations manager and dealing with any invoice queries
  • Maintenance of sales/purchase ledgers
  • Weekly subcontractor payment runs
  • Processing staff timesheets onto (Eque2) on a weekly basis before processing payroll
  • Nest pensions including CIS/PAYE
  • Processing staff credit card statements and expenses against correct nominals
  • Bank Reconciliation and monthly journals
  • Accruals & Prepayments
  • VAT Returns
  • Any month end and adhoc reporting for Management meeting or directors

· To support the sales/estimating team . For example, completing new supplier forms, PQQ’s and management of internal CRM system – monitoring mailbox, logging of tenders, downloading documentation onto sharepoint.

· To answer telephone calls in a polite and courteous manner dealing with any requests promptly and efficiently, returning call backs in timely manner.

· To ensure when post arrives it is distributed to relevant recipients in a timely manner.

· Manage and distribute incoming business emails.

· General filing and organisation of office.

· To maintain and keep upto date confidentiality of all relevant information and files on sharepoint
